Position Overview

The Director of Presidential Operations to the Office of the President serves as a senior operational and strategic partner within the Office of the President, providing high-level, confidential, and anticipatory support to advance the President’s priorities and the effective functioning of the college. This role requires a deep understanding of the President’s goals, institutional priorities, and college policies and procedures, coupled with the ability to exercise sound judgment, independent thinking, discretion, and diplomacy.

Success in this position depends on proactive planning, exceptional organizational skill, attention to detail, and the ability to navigate complex and shifting priorities in a fast-paced, high-profile environment. The role maintains extensive interaction with senior leadership, faculty, staff, students, board members, and external partners and is critical to ensuring the strategic and efficient use of the President’s time, attention, and institutional influence.

Key Responsibilities and Essential Functions

  • Provide executive-level, confidential administrative, operational, and strategic support to the President, including comprehensive calendar management, scheduling, and prioritization of meetings, events, and activities, while closely coordinating with the Executive Assistant to ensure alignment, efficiency, and seamless execution of priorities.
  • Assess and triage requests for the President’s time, exercising independent judgment and diplomacy to identify priorities, recommend alternatives, and commit the President to actions as appropriate.
  • Provide direct, on-site executive support to the President at key internal and external meetings, events, and engagements, including accompanying the President as appropriate to ensure coordination, situational awareness, and effective follow-through.
  • Preparation of briefing documents, content creation (i.e. President’s Workplan, Board Report) and agendas to ensure the President is fully prepared in advance.
  • Support and coordinate presidential events, committee work, and special initiatives, including organizing agendas, tracking follow-up actions, and monitoring the implementation of decisions.
  • Prepare, draft, and coordinate confidential correspondence, contracts, complex policies, speeches, institutional communications, reports, and other materials on behalf of the Office of the President.
  • Manage sensitive and highly confidential information with discretion and professionalism.
  • Serve as a primary point of contact and liaison for the Office of the President with internal and external constituencies, representing the President with professionalism, sound judgment, and discretion.
  • Serve as the President’s designee for coordination and oversight support related to external relations activities, initiatives, and priorities.
  • Serve as designated backup to the Board Coordinator in the absence of the Board Coordinator or other assigned backup, providing continuity of support for Board-related materials, meetings, and governance processes in alignment with established protocols.
  • Coordinate and support executive searches and senior-level hiring processes chaired or co-chaired by the President, including search logistics, documentation, stakeholder coordination, and follow-through on key process milestones.
  • Provide operational oversight for the Office of the President, including process improvement, records management, budget creation, development, and monitoring, and day-to-day administrative functions.
  • Work closely with Marketing & Communications to manage website updates and coordinate communications (i.e. All College, Announce) for the Office of the President.
  • Conduct research, analysis, and problem-solving related to presidential initiatives, institutional issues, and emerging needs.
  • Anticipate challenges, identify opportunities, and support projects aligned with the strategic goals and priorities of the Office of the President.
  • Provide workflow direction and coordination to executive support staff within the Office of the President, serving as subject matter expert on executive administrative protocols and procedures.

This position has been identified as a Campus Security Authority (CSA) pursuant to the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act). Campus Security Authorities must immediately report Clery Act crimes that occurred on Portland Community College’s Clery geography on the Crime Incident Report (CIRTrac?) located on the Department of Public Safety’s Clery Act compliance webpage. Following entry of a report on CIRTrac? PCC’s Clery Specialist will (1) analyze the report for issuance of a timely warning or emergency notification; and (2) will determine if the report should be included in the annual statistical disclosures. The Clery Specialist shall annually assign CSAs online Clery Act training to ensure they are provided proper training to fulfill their reporting responsibilities required by the Clery Act and PCC’s Clery Act policy.

  • Seven years of progressively responsible professional experience providing executive-level administrative, operational, and strategic support in a complex organization, including experience supporting senior leadership, exercising independent judgment in confidential matters, coordinating executive search processes, and managing multiple priorities; supervisory or lead experience preferred.
